1. Compare scope before comparing totals

A lower total may describe a different outcome from a higher quotation. First check which surfaces, views, revisions, materials, production steps and installation conditions are included. Removal of old graphics, vehicle preparation or extra downtime may also be omitted.

Ask for ambiguous lump sums to be explained in writing. A useful quotation identifies its assumptions and the changes that may create extra cost.

2. Twelve items for a like-for-like review

Not every project needs every item. The important point is that quotations being compared either include the same work or exclude it explicitly.

  • Briefing, consultation and objective setting
  • Design concept and number of creative routes
  • Included revision rounds
  • Vehicle views and presentation visuals
  • Artwork preparation and approval documents
  • Technical vehicle and substrate inspection
  • Measurement, production artwork and output data
  • Film, print, plot and laminate system
  • Removal of existing graphics and preparation
  • Production, installation and quality control
  • Logistics, vehicle downtime and rollout coordination
  • Care guidance, removal conditions and warranty scope

3. Separate design from technical delivery

Under the HOTIM model, consultation, concept, design and agreed coordination are priced separately. The executing specialist contractor supplies its own technical quotation for inspection, materials, production data, manufacture and installation.

This separation prevents one package from blurring responsibilities. Combine the two areas only once each scope is complete and the vehicle has been assessed technically.

4. A film name is not a full specification

A brand or film series is only part of the technical description. The complete system can also involve print and laminate, substrate suitability, service conditions, treatment of edges and recesses, care requirements and later removal.

Only the contractor responsible for the actual system can make binding statements about suitability and expected performance on the specific vehicle.

5. Record the decision

Use a simple matrix: included, optional, excluded or still to clarify. Add the provider, approval stages, timing, payment plan and contact for defects. Finally record exactly which version of which quotation was accepted.

A structured comparison cannot prevent every change, but it shows whether a price difference reflects quality and scope or merely a missing line item.
